Title: Special Events Crew Member
Division: Special Events
Reports to: Special Events Senior Manager or Private Events Manager
Status: Part-time, Temporary, Non-Exempt
Rate: $18.53/hour

Basic Function

Under the direction of the Special Events Manager, the Special Events Crew Members assist the full-time Special Events and Site Rental staff in coordinating various events as required by performing different tasks to prepare, set up and tear down for events as well as periodically perform related administrative and clerical duties for Department staff as assigned. The role of the Special Events Crew Members are to fully support other Department members who are leading events.

Essential Responsibilities

  1. Assists with implementing various public, private and GLAZA events. Duties may include set-up and breakdown of event supplies (tables, chairs, centerpieces, etc.), coordinating with various divisions, volunteers, vendors, and hired entertainment.
  2. Assists with the event set-up and tear down of each event.
  3. Be the point of contact for rental deliveries and/or events when needed.
  4. Assist with maintaining carts and events vehicles when needed.
  5. Assist with organization or clean-up of event spaces/yard as needed.
  6. Coordinates check-in/registration for events and assists with ticketing distribution and line-management.
  7. Assists with the organization’s largest annual events, the Beastly Ball, Boo at the L.A. Zoo, and L.A. Zoo Lights (and a variety of public, donor, and private events) providing overall administrative, set-up/break down, and logistical support.
  8. Helps coordinate with Marketing & PR and Sponsorship events, including press events and sponsorship activations.
  9. Assists with facilitating and maintaining a master list of rentals, delivery, set-up, and tear-down schedules for events.
  10. Assists Department staff as necessary with implementing the entertainment program for events. Helps coordinate staging and audio-visual requirements.
  11. Assists Department staff with checking proper certification and permits upon vendor arrivals.
  12. Assist Event managers when needed with creating any last-minute paperwork for events such as timeline, updating vendor contacts, creating to-do lists, rental requests, etc.
  13. Performs other duties, as required.

Skills, Knowledge, and Abilities

  1. Some college, or equivalent experience, and at least one year of previous work experience, preferably in events or customer service.
  2. Interpersonal and communication skills to develop and maintain effective working relationships with all levels of personnel, including GLAZA and Zoo staff, members, volunteers, donors, prospects, senior staff, the general public, outside vendors, corporations, foundations, etc.
  3. Demonstrated ability to organize, prioritize, and complete work in a timely manner, despite competing requirements.
  4. Attention to accuracy and ability to maintain detailed records, logs, and other related information.
  5. General computer literacy and knowledge of various software programs, including Microsoft Word, Excel, PowerPoint, and Publisher, Raiser’s Edge, and Adobe Pagemaker.
  6. Demonstrated ability to use various types of office equipment, such as copies, fax machines, printers, scanners, etc.
  7. Demonstrated ability to work under pressure and time constraints while remaining calm and maintaining a sense of humor. Ability to handle multiple tasks with effective follow-through.
  8. Demonstrated skills in listening perceptively, conveying sensitivity and awareness, and the ability to maintain confidential materials.

  10. Demonstrated communication skills, both written and verbal.
  11. Demonstrated flexibility to work an irregular schedule, including early, late, and weekend events.
  12. Demonstrated ability to lift forty pounds using proper safety techniques for setup and teardown of events in all types of weather.
  13. Demonstrated ability to routinely cover Zoo grounds on a daily basis.
  14. Ability to sit and stand for long periods of time when needed in all types of weather.
  15. Possess a valid Class C Driver License and satisfactory driving record. May run errands related to Special Events.
